Quality

Organizations should be very selective when choosing to trust their vital records to any outside party. Errors on conversions can mean the loss of a document or record permanently if not caught by a quality screen or if originals are not retained post-conversion. ScanSmart takes the trust and confidence given to us by our clients very seriously.

To assure that records are not lost or damaged on conversion, we have three levels of quality controls. First, our scanners are equipped with multiple methods for detecting a double-feed or paper jam that can damage documents. Secondly, every scan is visually inspected for legibility and accuracy. Lastly, originals are retained for 90 days to give our clients the ability to not only review the results of the conversion but to also process business and discover any concerns that may arise. If a shorter hold time is requested, we are happy to abide by client requests.

Conservation

ScanSmart also believes that reducing the use of valuable resources is not only good for financial statements but is also good for the environment. The only thing better than recycling used paper, is not using paper at all. While the paperless office may be years off from being fully implemented, we are doing our part to help reduce consumption and waste in today’s offices.
